Microsoft Exchange Online is the cloud-hosted email platform that powers business communication for millions of organisations worldwide. Each user receives a 50GB or 100GB mailbox (depending on plan), with support for shared mailboxes, distribution groups, resource scheduling, and public folders. Delivered as part of Microsoft 365 or as a standalone service, Exchange Online eliminates the cost and complexity of managing on-premise Exchange servers while providing the same enterprise features.

Email security in Exchange Online includes Exchange Online Protection (EOP) with anti-spam and anti-malware filtering, plus optional Microsoft Defender for Office 365 that adds safe attachments (sandbox detonation), safe links (time-of-click URL scanning), and anti-phishing policies with impersonation detection. Data loss prevention (DLP) policies automatically detect and protect sensitive information in emails and attachments.

Compliance features include In-Place Hold and Litigation Hold for legal preservation, eDiscovery for search and export, message encryption for sensitive communications, and journaling for regulatory archival. Information Rights Management (IRM) prevents forwarding, copying, or printing of sensitive emails. Audit logging tracks all mailbox access and administrative changes.
